How to use webinar tool: From Setup to Success

Creating and managing webinars in BrainCert is a seamless process that improves you to deliver engaging and interactive online sessions. By using tools like polls, screen sharing, whiteboards, and RTMP broadcasting, you can create a dynamic and professional webinar experience for all participants. Follow these steps to maximize engagement and make sure a smooth, productive session.



Step 1: Choose Your Audio Preference for the Webinar

Choose any one Option would like to Join the webinar.

  1. Microphone: Allow Microphone while starting a webinar.
  2. Listen Only: Disallow the Audio while Webinar Starts.

Step 2: Manage Participants with the User List

Click 'User's List' at bottom of the webinar.

  1. View Participants list in the left sidebar.
  2. Click 'More' Option to request the users to share Microphone, Webcam, Send Private Chat, give access as presenter, Lock Microphone/webcam/screen sharing/whiteboard/chat/send chat message and Remove Participants separately.
You must be an admin to access this Participants option.

Step 3: Enable Microphone, Webcam, and Customize Background

  1. Select 'Enable Microphone' under the Participant's List to speak in the session.
  2. Select 'Start Webcam' to enable Camera in your system that presents to all participants.
  3. Click Dropdown in the Specified box and select the default image to change your background view.
  4. Click on 'Upload background image' to choose the required image from your File Folder. Then, Click 'Share'.

Step 4: Create and Publish Polls

  1. Navigate to 'Polls', Select 'Create new poll'. Then, Polls Creation Popup Appears.
  2. Enter Question and their Option in the desired box.
  3. Select 'Add more option' to Insert more Choices in the poll.
  4. By Clicking 'Trash Icon' to delete your Options.
  5. Click 'Create Poll' to Publish Your Poll to all Participants.

Step 5: View and Manage Poll Responses

Select 'View Details' to Overview the poll information. Click the Dropdown to Preview Participants Response. Then, Choose 'End Poll' to close.

Step 6: Engage with the Chat Panel

Select 'Chat Panel' on bottom of the Session.

  1. On Right Side bar, Click the Drop Arrow to Shows the Public Chat for sending Messages to all participants.
  2. Next to 'Public Chat' displays the Participants name to send in a Private Message.

Step 7: Share Your Screen with Participants

Select 'Start Screen Sharing' option to share your Screen to all participants. Then popup will appear, Choose your preferred Tab to Present and Click 'Share'.

Step 8: Use the Raise Hand 

Click 'Raise Hand' feature to share their Opinions (or) answers to the presenter. The Icon displays in the Left Sidebar that views to all Participants.

Step 9: Present with the Whiteboard Tool

Select 'Show Whiteboard' Option to Present the Learning Materials to all participants.

  1. Select 'Lock Icon' to Pause the elements in the whiteboard and use 'Hand Panning Tool' to pick any elements to move.
  2. Choosing the option(2) Shaping tools helps to Select the Elements, Shape rectangle, Diamond, Ellipse, Arrow, Line, Draw, Text and Erase.
  3. On the right sidebar, Customize elements using features like Stroke, Background, Fill, Stroke width, Stroke style, Sloppiness, Edges, Opacity and Layers.
  4. Click Option(4) to Laser Point in the whiteboard.

Select 'More Elements' to see Four additional Features.

Step 10: Presentations with Frames and Web Embeds

  1. Select 'Frame Tool' to Frame the Presentation and Shaping Tools.
  2. Click 'Web Embed' Option to embed Videos, documents and other interactive Elements.
  3. Navigate to 'Mermaid to Excellence'

Step 11: Create Diagrams with Mermaid Syntax

Basic Example Mermaid Syntax for a flowchart:

Common Mermaid Syntax:

  • Flowchart: graph TD (Top to Down), graph LR (Left to Right)
  • Sequence Diagram: sequenceDiagram
  • Gantt Chart: gantt

Currently only Flowcharts and Sequence Diagrams are supported. The other types will be rendered as image in Excalidraw. 

Insert the 'Mermaid Syntax' in the provided text box that Excalidraw will automatically render the diagram in Preview on the Right Side Column. Then, click 'Insert'.

Excalidraw will automatically render the diagram in real-time. You can edit the Mermaid code directly, and any changes will be reflected in the preview. This allows for quick creation of structured diagrams (e.g., flowcharts, sequence diagrams) alongside freeform drawings, all within the same collaborative whiteboard environment.

Step 12: Upload and Share Files

Click Image, Files Button to upload Pictures, Videos to present participants. Select 'Library' which is divided into two, Personal and Excalidraw Libraries. Choose the uploaded Excalidraw diagrams (or) Browse from libraries.

Step 13: Record Your Webinar

Select 'Recording' Icon to start record the webinar. Then popup appears, that displays:

  1. By Enable 'Cloud Recording' that store data in the cloud Storage.

Then, Click 'Start Recording'.

Step 14: Explore Advanced Options

Click 'Options' Icon that popup the Following Features:

RTMP (Real-Time Messaging Protocol) broadcasting plays a key role in live video streaming in Facebook, Youtube and other platforms including webinars, by enabling the real-time transmission of audio, video, and data between the source (like a webinar host) and the audience (viewers). When combined with whiteboard features, RTMP broadcasting allows the host to share content, engage with participants, and interact with a virtual whiteboard in real time.
  1. Go to 'Start RTMP broadcasting'.
  2. Click 'Mute all users' that reflects in the Participants List.
  3. Select 'Manage waiting room' to send message to the participants.
  4. Enable 'Room Lock Settings' 
Enabling Room Lock settings locks the Microphone, Webcams, Screen sharing, Whiteboard, Shared Notepad, Chat, send message, chat file share, private chat.

Step 15: Start RTMP Broadcasting

Click the Dropdown to select Provider and Insert stream Key/Secret Key. Then, Click 'Start Broadcasting'.

You're Webinar live Stream in Choosen Platforms like Facebook, Youtube and Other Platforms that have RTMP Feature.

Step 16: Customize Application Settings

Click the 'More' option on top right next to Volume Icon.

In 'Application Settings', Click Dropdown in the Language Section and Select Your preferred Language.

Toggle the Option to enable dark theme for your Webinar.

Click the Following Dropdown to change the Video Object Fit, Column Camera Width, Column Camera Position.

Step 17: Optimize Video Quality and Data Usage

In the 'Data Savings', Click Dropdown option to choose the video quality and Toggle to enable webcams and Screen Sharing.

Step 18: Generate RTMP and WHIP Links

Go to 'Ingress', Select 'RTMP' (OR) 'WHIP' and enter name in the Provided Area. Then, Click 'Generate link'.


Real-Time Messaging Protocol (RTMP)

  • RTMP is a widely used streaming protocol for live video and audio transmission. It was originally developed by Adobe for Flash Player, but it remains popular for live streaming to platforms like YouTube, Facebook, and webinar services.
  • RTMP is often used to push video content from a webcam or other video source to a webinar platform. It allows for smooth, real-time communication, which is crucial for webinars with video streams.

WebRTC HTTP Ingestion Protocol (WHIP)

  • WHIP is a newer protocol designed for low-latency, real-time streaming over the web, utilizing WebRTC. It enables fast, direct ingestion of live video streams into services that support WebRTC-based streaming.
  • WHIP is becoming a popular alternative to RTMP due to its reduced latency, making it ideal for webinars where real-time interaction is critical, such as for high-quality, interactive video streams.

Step 19: Access Additional Features and End Session

Click 'More' Option, to see the Extra Options in the Webinar.

  1. Select 'Keyboard Shortcuts' to view all the given Shortcut Keys.
  2. Click Logout to Leave from this Session.
  3. Click 'End' option to Exit the Presented Session. By Selecting this, all Users will be disconnected.
